With 50 staff and over 2,000 members worldwide, they focus on lobbying, organizing conferences, and managing communications, publications, and events. They’re looking for an Executive Assistant/Receptionist to cover a one-month vacation in July, ideally someone adaptable and team-oriented.
Job Description
- Assist in the coordination of the project management organization and processes, utilizing Monday.com as the primary project management tool.
- Provide support to the Head of Project Management to streamline project workflows.
- Help coordinate the activities of the strategy and transformation department, ensuring effective communication and smooth operation.
- Serve as the main point of contact for staff regarding project management processes and tools.
- Oversee the submission and organization of project files and initiatives.
- Offer guidance and assistance to colleagues regarding the usage of Monday.com for project management-related tasks.
- Manage the administrative aspects of the projects board, including meeting scheduling, sending invitations, distributing agendas and decisions, and preparing meeting minutes.
- Provide administrative support to the strategy and transformation department, including organizing department, member, and partner meetings.
- Coordinate travel arrangements and manage files as part of the department's daily operations.
- Oversee administrative management for a group of committee chairs, including scheduling meetings, distributing agendas, and preparing meeting minutes.
- Coordinate the administrative aspects of project management processes across teams.
- Ensure the timely and efficient organization of meetings and events.
- Assist in the management of the strategy and transformation department’s activities.
- Demonstrate initiative and flexibility in responding to changing priorities within the team and organization.
- Support the planning and execution of on-site events, including the ability to travel and manage tight deadlines when required.
Job Requirements
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Excellent writing and reporting skills with a keen eye for detail.
- Digital literacy with proficiency in MS Office and an interest in developing digital skills.
- Strong interpersonal skills with the ability to communicate effectively across teams.
- Ability to work independently and flexibly to manage changing priorities.
- Willingness to travel and work under pressure, particularly for on-site events.
- Proven ability to meet deadlines and deliver high-quality work.
- A proactive, problem-solving attitude with strong initiative.
- Some experience in project management is an advantage but not essential.
Salary and Benefits
- Contract Type: Fixed-term contract with the possibility of extension
- Salary: €2,800 – €3,000 gross per month
