Summary

OfficeTeam is currently looking for a Receptionist - Office Assistant (M/F/X).

Our client is opening a new office near Louise and they are building a whole new team of 12 people. For that reason they are searching for a receptionist - office assistant to welcome the visitors and to organize everything in the office.
The company, a consulting firm, is easily accessible with public transportation.

As Receptionist - Office Assistant, you will be responsible for the following tasks:

  • Reception, telephone and mail:
    • Greeting, welcoming, and directing visitors appropriately;
    • Operating the switchboard in a warm, confident and happy manner;
    • Dealing with queries from visitors and staff;
    • Sorting and distributing internal and external mail, centralising and stamping outgoing mail, follow-up of courier and taxi services;
    • Monitoring visitor access and maintaining security awareness;
    • Reception of deliveries.
  • Meetings
    • Organising of virtual conferences and meeting room bookings;
    • Managing computerised booking system (outlook calendars);
    • Booking catering facilities - organising lunches and liaising with caterers;
    • Preparing of meeting rooms: technical installations, set-up, preparing of catering trolleys, printing of meeting documents, … .
  • Administration and support
    • Providing general administrative support ;
    • Liaise with suppliers.

The requested qualifications for this Receptionist - Office Assistant position include:

  • Bilingual English/French, another major European language is considered a plus;
  • Good communication skills;
  • Good with computer systems, Microsoft Office, internet research;
  • Well-organised and efficient, able to multitask while remaining attentive to detail;
  • Autonomous, problem solver, remain calm under pressure;
  • Service minded with good team spirit;
  • Positive attitude, friendly and polite.
